Heard About Harold helps spread the word about arts & culture events in the Central Okanagan. Submitting your event is easy and free of charge, but we do have some guidelines.

Before you get started

What we need from you

Heard About Harold is a grassroots movement promoting arts and culture in the Central Okanagan. When you submit your events, activities and programs for inclusion in our newsletter, you become a partner and Messenger.

In exchange for your free event submission, we ask that you help spread the word. Share Heard About Harold with your own audience, customers and members; add a link to us on your website, include us in your newsletter, post about us on social media every so often, and tell people about what we’re doing. If all of our partners do this, we can reach more people faster!

Submission Guidelines

Heard About Harold currently accepts events, activities, and programs in the following categories: art, dance, theatre, music, film, comedy, literary, heritage, and culture. Events must be located in the Central Okanagan (Lake Country to Peachland, including West Kelowna and Kelowna). 

Heard About Harold does not tolerate and will not accept hate speech or discriminatory behaviour. We reserve the right to update the rules and guidelines for event submission at any time to ensure the best possible experience for audiences, event organizers, our volunteers and administrators.

How to submit an event

  1. Create your event in your own calendar platform of choice (Google, Outlook, etc.) using the correct day(s) and time(s). We recommend Google Calendar, as Outlook may have issues with hyperlinks. See Submission Tips below for multiple dates and times.
  2. Input your event information as follows:
    1. Title: ONLY your event name should go in the Title field. Keep it short and simple so that it’s more readable for audiences.
    2. Location: Add your location in the location field.
    3. In your description, add the following in this order:
      • IF your event has a run of dates, the start and end dates
      • The website link to your event. If you are using Google Calendar, you can use the organizer name and add a hyperlink to your website. See the FAQ below for more.
      • Do NOT add any other information to the description. If you do so, your event will be removed.
  3. Events must be public in your calendar. Depending on your security settings, you may need to create a public calendar for Heard About Harold event submissions. For more information, please refer to the support pages for your chosen calendar platform (Google, Outlook, etc.)
  4. Submit your event by inviting heardaboutharold@gmail.com as a guest.

Submission Tips

  • Set up multiple events as recurring series rather than individual events.
    • You may need to create a handful of versions to cover changing hours across different days.

Event Removal

Our volunteers review events and will remove any that aren’t in the spirit of Heard About Harold.

Users who submit spam or repeatedly share low-quality submissions will be blocked.

Submission F.A.Q

Where do I put my organization name?

We suggest using a website URL that includes your organization’s name.

If you want to link to your ticket seller instead of your own website, you could use your organization’s name and then hyperlink it to the website. For example, instead of https://www.balletkelowna.ca/macbeth-2024 the link would be Ballet Kelowna.

It’s a less-than-perfect solution, but it’s the one we have at the moment. Stick with us, help us grow, and together, we can create a better platform soon!

Why can’t I include more information in the description?

We use the information submitted to create our weekly newsletter. It’s a semi-automated process that helps reduce errors and volunteer time. Plus, additional information makes the newsletter too overwhelming and long. If the newsletters aren’t helpful, people will stop opening them or even unsubscribe.

Why isn’t my link working in the newsletter?

If you submitted your event through Outlook, your hyperlink may not have come through. Try using Google Calendar instead.

My event info has changed; how do I update it?

Update the event in your own calendar, and when you save it, select the option to send us an email to inform us of the update. The event should automatically update in the system within a few hours. Please note that we don’t inform our audience about event changes at this time.

My event is cancelled; how do I remove it?

Delete the event from your own calendar, and it will automatically be removed from our system within a few hours. Please note that we don’t inform our audience about event cancellations at this time.

Are you going to create an event listing website?

We hope so! But we’re going to need your help.

By submitting your events and continuing to support and promote Heard About Harold, you can help us get closer to the next phase of the project. We want to build a reliable and comprehensive events listing website for arts and culture events in the Central Okanagan. To do that, we need to show funders that we have an engaged audience and the support to succeed.
